Import A/R Invoice

There are two Misc. invoice imports in Naviga Ad:

  • Import A/R Invoices

  • Import Open A/R Invoices

Import Open A/R Invoices is typically used to import a batch of new invoices where Naviga Ad will be the system that sends these invoices out, so Invoices using this method will also create a PDF of the invoice (in a batch and individual pdf's).

Import A/R Invoices (described below) is typically used to bring in invoices for collection purposes, but that were already created and sent in another system. This method of importing invoices does not auto-create any pdf copies. Using the regenerate process, individual pdf's can be created ad hoc, but no batch of invoices is created with this process.

In either process, the creating user can supply a unique invoice ID or have Naviga generate the ID’s. For invoices billed in external systems you would supply the external invoice ID. In either process, the user can check the flag to mark invoices are already posted to the G/L. Marked as Yes, Naviga will assume this was already posted to the G/L from another system and we will NOT post it again. Marked as No, we will post these to the G/L.

Navigate to the menu Invoices -> Import A/R Invoice. This process can be performed per module using the provided template. You can also click the button “Flag Invoices as Posted to G/L”.

Flagging Invoices as already posted to the G/L allows clients bringing legacy invoices or balances over from a 3rd party system to import invoices as already Posted to G/L so that they don't post again.

The option “Use Legacy Client ID” if checked to “Yes”, will allow the system to match the legacy ID in the spreadsheet to an existing advertiser ID. If checked as “No”, the system will bypass using the legacy IDs in the spreadsheet.

Download the template from this screen which opens a spreadsheet. Fill out the sheet and save to your desktop. Then click the “Select” button to choose the spreadsheet and upload to the system. To flush out all errors on the spreadsheet, click the button “Test Import” and click OK if you get an error because the system will display the line and cause of error.

Correct all errors and resave to your desktop. Then click the x remove button to clear the upload then re-click the select button to upload the corrected sheet. Then click the “Import File” to complete the import file. The system will provide an ID for the import.

To view the imported invoices, user can click the node “List of Imported Invoices” and pull up the import ID and view all imported invoices.
