Import Names and Contacts
Name Import
With the CRM Name Import, a user can import any number of companies and individuals into the system to be used in conjunction with creating CRM opportunities and other CRM tasks (notes, actions, etc.).
To import the contact name, you must enter the data in a separate row using the same company legacy ID and company information, but the TYPE on the contact row would be “I” instead of “C” for company.
To do so, navigate to the CRM module menu Setup -> Import Names and Contacts and then select the Import Names Node.
Duplicate Option
Ignore Duplicate Clients - if you include in the template a company legacy ID which exists in System the import will import them anyway and new names and contacts will be attached to the same existing company in System.
Do Not Ignore Duplicate Clients - the system will alert you if you have duplicate contacts with the same Individual Legacy ID or with the same Company Legacy ID for a client in the template as in System and will not import them.
Create Opportunities for Duplicate Clients - This allows the system to create opportunities for the clients in the template sheet but importing them as new clients with new IDs, even if they happen to have the same legacy ID in the template as ones already in the System system. The sheet has to have been marked with Y in the “Create Opportunity” column in the template, so when you log into CRM, the opportunities list will contain new opportunities for them.
Update existing clients - The import will update the existing client with the data in the import template related to this advertiser. The rules on update are as follows:
Null fields will be ignored in the update
To DELETE existing data - there should be a space in the field
deletes ALL values in multivalued fields
Single valued fields are always replace
Multi value always append
Company Selection for Contact
This selection has two options:
Company ID is the Elan Name ID: If selected, then the Company ID entered in the template is the same ID as in System.
Use the Legacy ID to Derive the Elan Name ID: If selected then the Company ID in the template is the Legacy ID for the company which will match system Company ID.
CRM Name Import Template
Click the button “Download Template”.
This will open the excel spreadsheet for you to fill out. The fields are as follows:

Once you enter the data, save the excel template to your desktop and note the path.
Click the “Select” button in the import pop up screen and browse to find the saved excel. Choose the file to upload it into System.
You must click the button “Test Import File” before performing the import to correct any errors.
If you have errors, you will receive a message indicating this and when you click OK, you will be gives the location and reason for the error.

Click close and return to the pop up import screen on System. Click the “Remove” x button.
Correct the indicated errors in the template. Resave the template to your desktop. Then repeat the process of uploading the file till all errors have been corrected.

Once all the data is correct, click the button “Import File”. You will receive a warning that only valid rows will be imported. Click OK, and then you will receive a success message of the import.

Click OK and note the import ID.
Click the node “List of Imported Names”. Choose the import ID from the drop down menu and click “Get Names”.

The list of names from the sheet display with hyperlinks to the name ID for further use.
View Imported Opportunity for Advertiser
To be able to see the opportunity listed in the “Opportunities” tab for this advertiser on the customer overview screen, you must edit the opportunity with the amounts and dates.
Navigate to the opportunity by clicking the menu Pipeline. And note that you are able to view the opportunity list by stage. At this point the opportunity imported is of no value and no data associated with it.

Click on the hyperlink to the ID of the opportunity you imported.

Edit the details including the start date, end date, close date, amounts, publications or digital products as expected. Click “Calculate Forecast Amount” and the number will be automatically defaulted in the forecast amount field. Click on “Save”.
Navigate to this advertiser’s overview page and you will see the opportunity listed in the respective tab.

Import UDFs and Demographics to Existing Advertiser
User can import UDFs and demographics for an existing company or individual. This same import allows for linking the Salesrep to a customer. This allocates the rep to this client and places the client to the rep’s database. If the client has a Salesrep already assigned to them, this import will add this imported Salesrep to the list of reps assigned to the client and will not remove the original rep.
Navigate to the menu Setup -> Import Names and Contacts -> Import UDFs and Demographics to existing Company/ Individual.

Click on the drop-down “Name ID Selection” which allows you to choose to use either the Naviga Name ID for the contact or the Legacy ID.

Save the file to the desktop and in Naviga Ad import screen, click on select and browse to upload the file. Click on “Test Import File” which will alert you to errors in the spreadsheet.

Note the errors and click Close. Then click the x remove button to remove the erroneous spreadsheet from the import screen. Navigate to the excel sheet and make the corrections necessary, then save it again.
Click the select button again and browse to upload the template. Click the test import file button again and repeat the process till the system indicates a successful import is possible.

Click Ok and then click the button “Import File” to complete the import process. The system indicates a successful import.
View Imported Data
Navigate to the customer overview screen and scroll to the User Defined Fields and Demographics section and note the imported data for each field display as imported.

My Customers
Once the Sales rep is imported to the client, click the menu My Customers and this client displays as part of this rep’s database of customers.
Navigate to the menu Customers -> My Customers.

If the customer already has a Sales rep assigned to it, this imported rep is assigned to the client in addition to the existing rep on the account and does not replace it.
Export Names
Note that if you click the Export node, you can export names of advertisers and use that template to update data then re-import. The Name Export option will generate a valid import format - e.g. you can export the selected names, update them in Excel and then reimport the file with the Name Import option.

Enter information into any or all of these fields depending upon the names you are looking to export:
Record Type - Select to export All, only Advertisers or only Agencies.
Name Type - Select to import Advertisers, Individuals, or both
Created On or after - select a date if you wish to export only accounts created on or after a certain date
Last Update on - select a date here if you wish to export only accounts last updated on or after a certain date.
Country Code - select one or more countries from this dropdown to only export names from those countries.
Category - select one or more CRM Business Categories to only export names from those categories.
Import Actions / To-Do’s
User is able to import to-do action items for each rep using a provided template. These are the action items to be performed by the sales rep and viewed when the rep logs into the home page of CRM and navigates to Action Items by Rep menu.

Navigate to the menu Setup -> Import Names and Contacts -> Import Actions/To-Do’s node.

Choose the company ID from the “Company Selection” drop down menu to be the Naviga Company Name ID or the Legacy ID to connect to the Naviga Name ID. This is the ID you will enter in the template provided for this purpose.

Choose the company ID from the “Company Selection” drop down menu to be the Naviga Company Name ID or the Legacy ID to connect to the Naviga Name ID. This is the ID you will enter in the template provided for this purpose.

Import Complimentary Subscriptions
User can import complimentary subscriptions for a client. To do so, navigate to the menu Setup -> Import Names and Contacts -> Import Complimentary Subscriptions node.

In the field “Contact Selection”, choose the option “Contact ID is the Name ID”, if you enter the Naviga ID of the contact in the template used to import subscriptions. Otherwise, if you plan on using the contact legacy ID, then choose the option from the drop-down “Use the Legacy ID to Derive the Elan Name ID”.
The “Address Selection” field allows you to use either the Company Address ID where the contact is employed or to use the Contact Address instead.
Click the button “Download Template” which will open the excel spreadsheet on your screen for you to fill out the various columns as listed in the table below. Once all values are filled out, save the template to your desktop.
Click the button “Select” on the import screen in Naviga and browse to upload the template into Naviga. It is important to click on “Test Import File” which allows the system to alert you to any errors which will block the import process. When you click OK to the error message, the system lists all the various template errors. If this occurs, click the x remove button on this import screen, fix errors in the template, re-save the template to your desktop, upload the template back into Naviga and click “Test Import File” again. Repeat this process until the system gives you a success message.

When all errors are fixed, click the button “Import File” which will bring in the template values into Naviga importing the complimentary subscriptions into the system.
These values can be viewed in the menu Customers -> My Comp. Subscriptions.

Import Process
Save the values in the template on your desktop. Navigate back to the CRM page and click the “Select” button to browse and upload the template into CRM. Note that you can import more than one opportunity for more than one advertiser in one sheet.
Click the button “Test Import File” to iron out any errors in the system. The system will direct you to the errors. If there are errors, click the x remove button in the Import screen to remove the template.
Then correct the errors in the template and re-save the file. Repeat the upload and test import steps until all the errors have been corrected.
Then click “Import File”. The system provides a success message.
Navigate to the menu Opportunities -> Opportunity Detail. Click the hyperlink to the opportunity you imported.

You can then edit to add more details to the opportunity.
