Update Page Numbers in an Issue / Tearsheets

Update Page Numbers in an Issue

This is where you can view and edit page numbers, ad headline, and tearsheet URL in an issue. In the Product dropdown you will see a list of Print Products. Select desired product and issue date. (see section below for Spaceholder details)

If a tearsheet URL is added into the tearsheet field, then on the client's invoice or on the Advertiser Portal, you can view the tearsheet image. On the invoice, it can be added as a link to the tearsheet. One the portal, it will be an icon on the order list of Past Print Orders that the user can click on and see the tearsheet.

For the Ad Headline column to be editable, the order must have a material ID assigned to the issue. (This ID can be auto-created when the line is first saved if configured to do so in the product setup.) For sites using Naviga Plan, the Page number, and possibly the Tearsheet URL, will be auto-updated. (see below for additional Tearsheet URL info)

The Configure output tab on this screen allows the user to pick what columns to display on this screen and also which columns to include if the grid is downloaded to excel or pdf.

Spaceholder Ads (Parent-Child Ads)

With Spaceholder ads, the parent ad is what goes to pagination, and the child ads get the invoices. Since Naviga Plan does not know about the Child Ads, Plan can't auto-update those. So, when Plan adds the page number (and possibly also the tearsheet), then Naviga Ad will copy them to the children linked to that parent ad.

If you are manually updating page number, there is an option at the top of the screen where the user can choose if they want their manual updates to affect the children or just the parent.

Selecting "Assign Parent and Children Data Separately" will result in children being displayed as their own lines in the grid. User will be able to independently assign page numbers to parents and children.

Selecting "Apply Parent data to Children" will result in only the parent ads being displayed (and non-spaceholder type ads). Whatever page number is applied to the parent will also be copied to the children, thus saving the user time.

eTearsheet options

For sites using the Advertiser Portal who are able to provide us with a URL to the tearsheet, an icon will display on the portal for any insertions which have a URL (found on the Production Menu -> Update Page Numbers in an Issue report). This URL can also be provided as a link on the invoice, so that clients receiving electronic invoices will also be able to click the link and see their electronic tearsheet.

As far as getting the URL into the system, there are several options:

  • Manually add the URL to the Update Page Numbers in an Issue report

  • Insert the URLs into the system using the API

  • Users of Naviga Plan also have additional options IF they are users of NCS Content for their Print Content Management System, OR if they use the InDesign Plugin (Script) as their output option from Naviga Plan

  • New for Plan users on build 202136 and later - Plan can update the tearsheet URL directly at the time of save - just like it updates the page numbers. There is an add-on license fee to use this feature.

Insert Manually

Navigate to Production -> Update Page Numbers in an Issue in the Advertising Module. Enter the URL of the Tearsheet location here:

Insert Via API

If you are familiar with the API already - this is the API needed to update the URL on tearsheets:

Indesign Script Users

For sites using Naviga Plan and the InDesign output option, the URL can be easily updated using the Naviga PlanFlow Script. If you are hosting your own tearsheets, there is no additional cost to using the script other than your Naviga Plan License. If we are hosting the tearsheets, there will be a storage fee.

Here is a brief tutorial on how the etearsheets work:

NCS Content Users

Here is a brief tutorial of how NCS Content and Plan work together to get the final pages and their URLs into Naviga Ad. There is an add-on fee to use this utility. Please contact your sales rep for a quote.

Update: as of Q1 2024, the manual process of running the eTearExporter process has been automated. So in the above recording - at 5:45 - I run a process - that part is now automated and a watch folder is always looking for pdl files to process and import into naviga ad.

Plan Add On Feature

Naviga Plan (version 202136 and newer) can now be configured to auto-update the URL inside Naviga Ad with the location where the tearsheet will be output from the Content System.

Since Plan is saved before the final page is actually output from Editorial, the URL in Naviga ad will be a bit premature, but on the Client Portal, the Tearsheet won't be accessible until after the issue date has passed, so it shouldn't be obvious to any clients that the tearsheet URL is delivered to Naviga ad slightly sooner than necessary - but this then saves an extra manual step later for someone to have to remember to go back and update the URL.

Important parts of the configuration are as follows:

The above fields are in Plan Setup on the General -> Miscellaneous tab. Your plan implementation specialist will supply the data for the Access Key and Tearsheet URL Base. (Naviga Personnel - see internal documentation for details)

The exact Tearsheet URL Path will be unique to your site. If we are hosting the pages, this URL will be provided by Naviga Hosting. If you are hosting your own pages (or your content provider is hosting them) then you will need to know that URL. There are some fields available to provide additional subfolders beyond the base URL. In the above example [product] was added to the base URL and so plan will add the product ID to the URL updated into naviga ad. Additional supported fields can be found HERE in the "Folder Containing Ads" configuration.

The other important bit of configuration in Naviga Plan is on your template setup.

On the Page Set Setup, select the "Naming Pattern" appropriate for the name of the final pdf. If you aren't using Naming Patterns already, the patterns available in the dropdown are configured in Plan Setup, on the Naming Pattern tab.

This will need to be coordinated with the editorial folks who are outputting the pages and will be concatenated onto the end of the above tearsheet URL Path

The naming pattern will define what is displayed here on the page info:

What gets uploaded into Naviga ad will be the tearsheet URL Path + Output Name + .pdf

So using my example above, my tearsheet would be located at https://dem-pdftest.newscyclecloud.com/pdftest/NAV13/NAV13_10-18-24_A1.pdf (Note NAV13 is the product ID)
