Bank Setup
This table is shared with Bank setup in other Modules. See System Tables Setup (A/R) for the majority of the bank setup information.
Specific to those using the A/P part of the system, see below for info on setting up optional Positive Pay support.
Positive Pay
This is a feature offered by some banks which allows user to send the bank a list of checks that user has sent out. In turn, the bank will only honor a check if it is on this list.
Positive Pay Setup
The Positive Pay option is available for users to setup in the bank setup screen. This will allow the user to submit a list of check numbers to the bank from which the bank can pay the checks to the payees. If a check number does not fall in the list, and is submitted to the bank by a payee, the bank will not process the check.
To do so, navigate to the Accounts Payable module and click on the Setup menu -> System Tables Setup -> Bank Setup. Choose the bank from the drop-down menu and scroll to the A/P Auto Clearing and Positive Pay section. Specify from the drop-down menu the positive pay format. Choose the positive pay format applicable to this bank, as every bank has a different format.
The system contains the formats so far requested by our clients. Contact support for more information on how to include your bank’s positive pay in the list.

Click the save button to store the settings.
Download Positive Pay File
Navigate to the menu Payments -> Pay A/P invoices. Then click the node print checks. Scroll to the right of the screen and note that there is an option to download the positive pay file if the bank has a positive pay format.

Click the icon and a new screen will display with the format chosen from the bank setup menu. Note that every bank format is different and if the format your bank uses is not on this list, you will need to contact support to add the format.
The bank output file is a text file which provides data as follows:

The fields can have different lengths, different contents, and different display rules based on the Bank’s requirements.
