Campaign Material Management

There are several ways to associate materials with their line items on Campaigns:

  • Open the line item and add material to the line - this is great when the client provides the material at the time of order entry. Then, when you are on that screen entering the order details, the user can handle the material right then and there. But that isn't always the case, so that's why we offer other ways of doing it.

  • Use the Material Management node on the campaign - this process is explained below and is best used when the same material is used across several different lines on a single campaign and it would be cumbersome to have to open each line individually to add the materials.

  • Use the Production -> Material Management menu option - this is best when the same material is being used across several different campaigns and the user wants an easy way to assign the same material across those campaigns

  • Use the Production -> Production By Print Product (or non-print Product, Product Group, etc.) - this option is best when reviewing lines for upcoming publications and checking to see which may be missing material. User can add materials by clicking on the line ID, or the Material ID (if present) and add materials at that time as well.

Material Management on Campaigns

The node for Material Management on campaign entry allows user to promptly manage existing material and add new as needed. This node is only for Print Display and Issue Based Digital Materials.

Create a new campaign or edit an existing one with multiple line items which have associated material records. Click the “Material Management” node on the campaign.

By default, when coming to this page, the system will show lines which do not already have material. toggle the "Show lines with a material id" to YES to see all lines.

Selected Size: The system displays the line items by size, so that the user can easily associate a given material size with multiple line items. If there are multiple sizes on the campaign user can choose a different material size from the “Selected Size” drop-down, then the screen toggles to display the line items associated with that size.

Consolidated Issue Dates: In the event that there are multiple publications for the same issue, this will consolidate the grid by date and show a single line for each date.

User can click on "New" link to add a new material ID to the line. It is assumed that the material ID will be used for all the lines going forward, but user can always click new or change the material on another line to change it from that later date onward.

You can also enter the Production Status in the drop-down if the product has material stages setup prior. The Production Status will be copied to the subsequent lines as well, as long as there is a matching status available. (in the case of multiple publications, the statuses may or may not match across products, depending upon setup. If they match we will copy, if they do not, they will need to be selected for each product)

Click Edit beneath the material ID to edit the material (add components, notes, etc)

Click the node “Associated Material” to view all material records on the campaign and you can click Edit here as well to edit them. Click Attach Existing material do do a pickup or pickup with change. Once the material is added here, user can go back to the Insertions tab and link the material to the appropriate line.

If you do not see the pop-up described above with pickup/pickup with change, check Material setting #1 in Setup -> Admin -> System Parameters. This must be set to Yes to see this prompt. If set to no, the system will assume a straight pickup and simply use the existing material.
