Invoices & Payments

The Invoices & Payments section will display any invoices that have already been posted and allows for prepayments on un-invoiced line items (Reserved or Confirmed status is required for taking a payment - no payments allowed on quotes)

To take a payment click the "Enter a New Payment" button or click the "Send a Pay link" to send a link to the client where they can enter their own payment via the portal. (Must be licensed to use the portal to use pay links)

In Campaign entry when you add a new prepayment to an order, it will look something like this:

  • Whether or not you see a processing fee added will be dependent on if your site has licensed the Variable Pricing by Payment Type module.

  • The Payment types offered will be dependent upon your user security (A/R Security)

  • Whether or not you are able to take ACH payments will be also dependent upon your payment processor & whether or not they offer an ACH Option.

  • Whether you see the option at the bottom to Process Payment Now, Process Payment Later, or both will be dependent upon group security (Advertising Security)

Once you complete the charge, you will see this prompt:

Note - if you would like to accept partial pre-payments to confirm an order on a prepay required customer, be sure to set the flag in Advertising System Parameters to allow partial pre-payments when pre-payment is required. (#14 in Setup -> Advertising Setup -> System Parameters) If this field is set to yes a partial payment will be sufficient for the user to confirm the campaign. If the field is set to no, confirmed status will only be available when payment in full is received for the campaign (Group Security to Ignore/Override Prepayment Requirements will also permit users to confirm without prepayment)

When the client is set to "Charge Credit Card" in Name Maintenance, the user will see this at the top of the payment window when making a payment:

If the flag is set to "no" the user will see this when taking a payment:

The above message doesn't mean that you can't take a payment....it just means they don't have a preference set to always use a credit card.
