Occupant data update

Goal

A new occupant/subscriber is created as a part of the new start flow. It has the following steps:

  1. Subscribe creates the occupant in circ in real-time and maintains a record of it in Subscribe database

  2. Nightly circ extracts sync data in Subscribe database

A user can update his information, i.e. first name, last name, phone number etc. via CSR call or through the Self-Service platform.

The goal of this guide is to help you understand how Subscriber/Occupant information is managed in Subscribe platform and how it is kept in sync with the Circ.

Pre-requisite Information

  • Subscribe 3.13 for One CSR Portal and Self-Service and minimum 2018.5 NCS Circ version

or

  • Subscribe 3.14 for One CSR Portal and Self-Service and minimum 38.0.034 Matrix version

or

  • Subscribe 3.15.0 for One CSR Portal and Self-Service and minimum 2021-3 CircPro version

Account management

New registration can be created by an owner or guest

1.If the registration is for an owner and no email exists in the circ system, Subscribe APIs would update registered email in the circ system along with the registration system.

2.If the registration is for an owner but email already exists in the circ system, Subscribe APIs would not update occupant email. It would only create a registration record. For instance, a person may give the owner access to his/her spouse. The system will not update the occupant’s email if the spouse changes his/her email.

User can update their information via profile page

1.User may update first name, last name, phone etc. via ‘My Profile’ page. This information would get updated in NCS Circ and Subscribe DB.

CSR Portal

Update occupant information

  1. First Name, Last Name, Phone, email update: A CSR rep can update the occupant’s First name, Last Name, phone number in the Circulation system and Subscribe system via Start Call -> Account Tab.

  2. Registered Email update: A CSR rep can update the occupant’s email in the Circulation system and Subscribe system via Start Call -> Digital Tab. The occupant’s email is updated in Circ only if the registration email is of an owner and the same email exists in the circ system. For instance, a person may give the owner access to his/her spouse. The system will not update the occupant’s email if the spouse changes his/her email.
